Post/ Position: Office Associate / Office Manager

Qualification:  Graduate/ post-graduate with DTP and proficiency in English language   

Job Profile:

The job requires excellent skills of managing multiple tasks with an ability to work yet polite and warm in all dealings with all those who come to the office of the CHRL.  It demands keeping up the excellent organizational skills with best relationships with the clients, associates, offices and people of goodwill.

Areas of Work:

  1. Assisting Editor in the preparation of Monthly Magazine Legal News & Views (LNV) and its publication and marketing.
  2. Assisting in the preparation and publication of Legal Education Series (LES) booklets both in English as well as in Hindi.
  3. Assisting in organizing training programmes and workshops in-house as well as outstation. 
  4. Assisting in programmes and projects undertaken or assigned to CHRL like Shanti Sadbhavna Manch and Study of Child Labour. 
  5. Taking care of public relations, communications, correspondence and reporting of CHRL activities. 
  6. Facilitating all activities of Legal Assistance Centre (Litigation wing of CHRL)
  7. Any other ancillary activities. 

A. Legal News and Views (LNV).

Collect all necessary content for all sections such as the latest Bills and Acts; latest legal news from various sources; legal terms and phrases; simplified laws from various sources to publish as ‘Know your law’; prepare legal quiz, appropriate photos and images as required for the publication of the magazine. 

Contact writers, lawyers, law professors and social activists; request them to contribute articles for the magazine either through email or phone call.  Request lawyers to write summaries of judgments of Supreme Court of India and various High Courts.  Correspond with the writers for articles; solicit, thank and send them complementary copies; keep up good relations. 

Make page layout, design the content; prepare the cover page; get the layout ready for the final proof reading.  Make all efforts and implement innovative ideas to improve the circulation of the magazine and marketing of the same. 

B. Legal Education Series (LES) booklets:  

Assist in revising and update existing LES booklets as well as bringing out new booklets on new themes and laws.  For this purpose, correspond with the writers, keep in touch with them, follow up their work, design and get the proof reading with collaboration with the publication department, track their work, write a note of gratitude, and send complimentary copies to the authors. Make arrangements for prompt payments to them based on their work as the rates determined. 

C. Training Programmes.

Collect addresses and make a data-bank of various organizations, NGOs, schools, colleges etc. for inviting them for various trainings.  Collect email id of different NGOs and Institutions who are working in training related workshops. Prepare application form and send with necessary circular.  Prepare invitation card/ Banner/ Poster for the training. Keep record of incoming application forms in different formats.  Prepare and send the circulars, invitations and schedules with the guidance of Head of CHRL regarding training.  Send confirmation letters to participants.

Fix the dates, book conference along with other facilities such as LCD projector, computer, white board, markers mikes etc. for the training according to the nature and number of participants. Make sure all stationery is ready for the training and all arrangements are in place before actual training begins; also checking Audio/Video. 

Book and arrange rooms for accommodation and meals according to the number of participants in the Residence for the training. With the approval of the Head, CHRL make menu for the training.  Book snacks from the canteen and make sure it should be available on time.  Make arrangements for a first aid kit.

Get the registration done for the participants before the starting of the training. Prepare list participants/ State wise/Paid or unpaid. Prepare registration copy of training.  As the training begins play prayer songs if required, handle presentation if it is required.  Assist participants who come for the training. Assist resource persons, accompany them, prepare layout of the reading material, collect reading materials (LES booklets). Take photos, videos and prepare reports.

Contact the Finance Department for the course fee. Prepare receipt and payment. Make arrangements to take advance from Finance department. Submit expenses bills to Finance department with list of participants. Refund course fee if participants could not attend the training or workshop. Prepare honorarium for the resource persons as the determined rates. 

D. Projects and Programmes:

Assist in all the programmes and projects of CHRL such as Shanti Sadbavna Manch and Child Labour Study.  Making arrangements for the payment of TA/DA to participants during field visit, make reports ready; if asked visit to places and attend trainings or workshops. Help in all its activities, workshops and other activities.  Assist the participants when they come to the Institute for the workshop and assist them in preparing voucher and account summary of the expenses.

E. Public Relations

Enhance mechanisms of communication, public relations, correspondence and reporting of CHRL.  Pay attention to office management by attending to the visitors’ phone calls. 

F. Legal Assistance Centre (Litigation wing of CHRL)

Be a contact person for all the enquiries and information regarding the working of the Legal Assistance Center (LAC).  Fix appointments with lawyers, officials according to the convenience of the legal team of the LAC. Create a Data bank of lawyers who will be of help to the office according to their expertise. When clients come to LAC for legal opinion or advice, collect their contact details (address, contact number, email, etc.) and enter the same in the register. Discuss with the clients regarding the issues they want remedy and after that inform the LAC team and make sure that one of the team members should meet the clients according to their expertise.

Follow-up the issues with the clients. When the LAC receives any case papers for filing a case in the various courts in Delhi or for legal opinion, keep the papers in a file and put up the file before the Head, CHRL and also enter the details of the person who sent the papers in the register.   If LAC teams opinion that a case has to be filed or an appeal filed in the Courts in Delhi then contact the client and fix a personal meeting with the LAC legal team.

Once the expenses and other fees are settled, then prepare vakalatnama and get it signed by the client or his/her authorized representative. Put a number on the file and also the cause title. Help the LAC team in legal research for preparation of cases. Help the lawyers of LAC in filing the cases in the various courts and being with them, whenever necessary. Correspond with the clients regarding the status of their case. Ensure all the files related to the legal work is managed in the office promptly and properly. Manage the routine work of the LAC.  Prepare the bills and vouchers for the payments and issue receipt to them. 


Assisting in preparation of annual budgets of CHRL, payment vouchers and receipts other petty accounts related works.  Maintain computers, printers, refilling printer cartridges.  Keep track of books, Bare Acts, journals, keep them in order for ready reference.

Compensation Offered

3.0 – 4.2 Lakhs Per Annum.
